How to setup memberships

Memberships allow you to take recurring monthly payments from your players based on a subscription level. You have the ability to add multiple membership types to keep your league costs effective and flexible to members.

Add your membership tiers

The image below shows you where to find this section when logged into the admin version of our software. Just click on Membership > Memberships.

Creating a Membership

To set up a new membership, click the Create Membership button and fill in the details. Click Save, then repeat the process for any additional memberships you want to offer.

You must set up at least one Pay-as-you-play membership. This allows the system to automatically charge players if they take part in a game that isn’t covered by their existing membership.

Here’s a quick overview of the options available:
  1. Name: The name of the membership (e.g. Gold, Silver, Bronze).
  2. Description: A short explanation of what the membership includes. This will appear on the player portal.
  3. Cost: Set the price of the membership, either per match or per month.
  4. Allow Pay-as-you-go: Enable this if you want players to be charged per match when not covered by a membership. (if you choose this option you don't need to complete any other boxes below)
  5. Mark as Best Value: Tick this to highlight the membership as the best value option on the player portal.
  6. Allow Unlimited Leagues: Tick this if the membership should cover all leagues run by your organisation.
  7. Number of Leagues: If you leave Allow Unlimited Leagues unticked, specify how many leagues are included. If a player joins more leagues than allowed, they’ll be charged the standard pay-as-you-go rate for extras.
  8. Cancellation type: You can choose from three cancellation types for your memberships:
    1. Immediate Cancellation: Members cancel instantly. No further payments are taken, and access to membership perks ends straight away.
    2. Cancel Before Next Payment: Members must cancel X days before the next payment to avoid being charged again. Example: Cancel 1+ days before 4th May to stop the 4th May payment.
    3. Notice Period: Members give notice but still pay for the next X months. Example: With 1-month notice, cancel on 5th April → final payment on 4th May → access ends 4th June.

Advanced Membership Settings

To help keep memberships running smoothly, you’ll need to configure a few advanced options. Go to Organisation > Settings > Membership Settings, here’s what each setting does:
  1. Enable Calendar Month Billing: Tick this to charge all members on the same date each month (e.g. the 1st of the month). If left unticked, members will be charged monthly based on their individual signup date.
  2. Monthly Billing Date: If calendar month billing is enabled, this is the fixed date each month when members will be billed.
  3. Charge Pay-as-you-play Fees to Captain: If you want captains to handle payments for non-members tick this option. Note: Please contact us for guidance on how the “create charges” process works for captains.
  4. Auto-Cancellation After Due Date Automatically cancel unpaid memberships after a set number of days. Set this to 0 to cancel immediately on the due date, or add a grace period (e.g. 3 or 7 days) to give members time to pay before cancellation.


















Membership Automated Emails

To save you time and reduce admin, we’ve set up 16 automated emails specifically for managing memberships. You can view and edit these by going to:
Communication > Automatic Emails > Membership Emails
